Job Summary: Working directly with senior staff, this position is responsible for the coordination and execution of the Arts Council’s events, as well recruiting, coordinating and managing volunteers. This is a full-time, salaried position that may include working some nights and on certain weekends. This position reports to the Executive Director.

Essential Duties and Responsibilities:

Events
Supporting ACBS senior staff and/or ACBS Board Members with planning and execution of events, fundraisers, workshops, and other programs
Directly overseeing the planning and execution of certain events including: Artisan Festival, Waypoint Adventure Film Series, Madrigal Dinner, Skull and Roses Ball, Shakespeare in the Parks
Provide critical support for annual art auction fundraiser
Secure entertainment needed for certain events
Set up ticket sales through online ticketing platform
Maintaining event and tent supplies and merchandise in a neat and organized manner and reordering as needed
Maintaining inventory of ACBS event-related equipment
Working with Communications Coordinator as needed on social media posts and additional posts regarding events, and adding events to local calendars
Hang posters and otherwise supporting marketing efforts for ACBS events
Coordinate sponsor-related needs at certain events (tents, banners, etc.)
Managing software programs for specific events (for applications, auctions, etc.)
Recruit, schedule and manage food truck vendors at events when needed

Volunteers
Maintain database of ACBS volunteers
Integrate volunteers into donor database
Recruit, assign and manage volunteers at specified events as needed
Implement appreciation and stewardship of volunteers

Merchandising
Create merchandise plan and budget for summer Music in the Mountains concerts
Research, order and maintain inventory of all ACBS merchandise
Work with Public Art coordinator on designing/ordering public art merchandise
Oversee the ACBS merchandise tent at the Thursday concerts and at selected Farmers Markets: set-up and take-down, merchandise sales, communicating with the public, and positively representing the ACBS, recruiting volunteers

General
Attend regular board, committee and other planning meetings as needed
Work collaboratively with other ACBS staff on event planning and execution
Maintain mobile credit card processing system (Square)

Preferred Experience
Event planning and production experience
Experience working with or managing volunteers
Competency in Microsoft Office Suite and Google and Mac systems
Working knowledge of of databases and CRM systems
Computer literate and comfortable working with various software platforms, i.e.: EventGroove (ticketing); ZAPP (art submission); Auctria (auction), etc.
Previous experience working in a nonprofit is desired but not necessary

Working Conditions
The Arts Council maintains a small office in the BASE community center in the heart of Big Sky’s Town Center. We are a team of six full-time and several part-time employees, and we manage a space that includes our office, art classroom, gallery, and storage facilities. Our office is open concept and is in a busy, energizing space. This position requires working some nights and weekends, the ability to operate a motor vehicle, and the ability to lift up to 50 pounds. Use of personal vehicle may occasionally be required. Background check required for employment.

Compensation
This position has a starting base salary of $55,000/year. Benefits include a flexible schedule with a progressive PTO policy, a monthly health insurance stipend with the option of joining the group plan, short-term and long-term disability pay protection benefits, a generous parental leave policy for new parents, professional development opportunities, a monthly cell phone stipend and an annual BASE individual membership. Position is located in the Big Sky office. Some remote work may be considered based on situation, but in-person work is preferred.
